The licence you stop paying is not the whole saving.
A hairdresser, a b&b and a builder are sold the same software with three different labels on it.
What is on the market
There is a package for hairdressers, one for restaurants, one for gyms, one for beauticians, one for b&bs and one for builders. Underneath a lot of them is the same system with a different word on the login screen.
That is not a scandal. It is the only way a vendor can sell to 6 trades at once, and for plenty of businesses it is genuinely enough.
When the package stops fitting
The moment your actual work needs a field the package does not have, and the answer is to keep that part in a notebook beside it. Now you have 2 systems and only one of them is searchable.
The second sign is the seat count. Software priced per person per month gets more expensive exactly when the business is doing well.
What built-once actually costs
The build is one payment, sized by how many things it has to hold and how many of them talk to each other. Stock, jobs, customers and money in one place is a bigger job than any one of them alone.
What it does not carry is a monthly licence, a seat price, or a rise every January decided by somebody you have never met.
What still costs money afterwards
Somewhere for it to run, a domain, backups, and time when you want it changed. We build on free infrastructure where the free tier is honestly enough, and say plainly when it will not be.
The system we run for a watch shop in Durres costs nothing a month to keep running. That is a fact about its size, not a promise about yours.
When renting is the better answer
If a package covers what you do, buy the package. If you need it working next week, buy the package. If the business is still deciding what it is, buy the package and build later.
Building is worth it when the way you work is the thing that makes money, and the software is currently fighting it.
Questions worth asking
Is it cheaper than a subscription in the end?
It depends entirely on how long you keep it and how many people log in. A build is one payment against a bill that never stops, so the answer is arithmetic and we will do it with you before you commit.
Who owns it?
You do. The code, the accounts and the data are registered to the business from the first day, and it is documented so somebody else could take it over.
Can it talk to fatturazione elettronica?
It can be built to, and that is a question for your commercialista before it is a question for us, because the system you already send invoices through decides most of the answer.
What if we outgrow it?
Then it gets extended, because you own it. A package cannot be extended, so outgrowing one means starting again somewhere else.
