The cost that is missing
There is no charge per user and no yearly renewal, because there is nobody to pay. Owning and renting part company there, and across 5 years it is usually the largest figure in the comparison.
What does cost money
Hosting, which at this size is small. A domain. And change: the day the business starts doing something new, somebody has to make the software agree. That is the genuine running cost and we would rather quote it than pretend it away.
Nothing else turns up. No seat you forgot you were paying for, no tier you quietly outgrew.
What owning it means the day you leave
The code and the data are yours, in your own account, and another developer can pick them up. That sentence is easy to write, so check it with anybody who says it, ourselves included: ask where it lives and whose name is on it.
Software you cannot take with you is rented, whatever the invoice calls it.
When renting is the better answer
If a tool already does the job for the price of a coffee a month, buy the tool. Building something to dodge a small subscription is a bad trade and we will say so.
Building wins when the process is yours and no product fits it, which is rarer than the people selling development would like.
